Terms and Conditions

To Confirm Booking

You must complete the online booking form and agree to these terms and conditions, to secure your booking a non-refundable deposit of 150GBP will be required this can be made payable by Credit/Debit Card or bank transfer.  We require the balance of the booking  42 days prior to your planned start date. If your booking falls inside the 42 days full payment is required at the time of booking. You will also be required to sign a vehicle rental agreement on collection of the vehicle, a 500GBP security deposit is also required to cover the vehicle insurance excess this must be paid by a fully traceable means Bank Transfer or pre-authorised Credit/Debit Card and will be refunded within 7 working days of the end of rental agreement.

Insurance

We provide you with fully comprehensive insurance and this is subject to you providing us with your driving licence, a DVLA licence check code for your licence counterpart and proof of address ie a utility bill, mortgage statement, bank statement. Our insurance does not cover you for damage to windscreens, windows, wheels, tyres, the underside of the vehicle, the roof or the interior of the van, towing charges, where the van is driven off-road or on unsurfaced roads or without due care and attention, negligently, recklessly or where the driver is under the influence of alcohol or other drugs. Your liability to pay the cost of the damage will therefore not be waived in these cases and you may be liable for the full cost. 

Insurance Criteria in brief

You must be between 25 and 70 years old and held a licence for a minimum of 2 years. No more than 6 penalty points are allowable and no more than one claim in the last three years. No serious motoring convictions that carry more than six penalty points within the last five years are allowable. A full DVLA licence check will be carried out and Ocean Camper Hire Ltd will hold no liability if you fail to meet the terms of our insurance criteria. Additional drivers

Additional drivers are permitted and the option to add additional drivers should be made at the time of booking. There is a £25 supplement for this per booking and all additional drivers must also provide their licence for inspection along with the DVLA counterpart code and proof of address.

EU Travel

We allow our van to be driven in the EU this option must be taken up at the time of booking and there is an additional charge of 50GBP for this service. This covers the increase in insurance premium and for the use of our European vehicle travel compliance pack.  

Cancellation

Once the booking is confirmed and secured by the deposit we are unable to refund the deposit, if the full balance has been paid we will where the booking is more than 40 days away refund any monies over the deposit amount.  Within 40 days of the start date, no refund may be given. We recommend that you take out appropriate insurance to cover you for any loss.

Security deposit

We are required to take a 500GBP security deposit prior to departure this must be fully traceable therefore can only be paid via a pre-authorised Credit/Debit Card or Bank transfer and will be refunded within 7 working days of the end of the rental agreement. Subject to Vehicle being returned as per the rental agreement.  This is to cover the insurance excess and also any possible driving fines that may occur during your rental period.

Rental Period

On the day of collection, your vehicle will be ready from 14:00, you will be required to complete the necessary paperwork and sign the vehicle rental agreement, you will be provided with a vehicle familiarization handover please allow up to 1 hour to complete the booking out process.  We ask that the vehicle is returned to our location by 10:00 am on your last day of the hire this is to allow us to inspect the vehicle post-hire and prepare it for the next hire. Please note a late penalty charge of 120GBP may apply.

Vehicle Availability

If for reasons beyond our control the vehicle booked is no longer available due to an accident, vehicle breakdown or any other matter including an incident on a previous rental. Ocean Camper Hire Ltd will only be liable to refund the full amount paid to us. The hirer shall have no further claim against Ocean Camper Hire Ltd

Fuel policy

All of our vehicles are supplied with a full tank of fuel, they should be returned full. If the vehicle is not returned full a charge of 25GBP plus the cost of the fuel will be made against the security deposit.

 

Vehicle collection and return

Our vehicle will be supplied to you in a clean, roadworthy condition with a full tank of fuel and will be subject to a vehicle inspection report prior to you accepting it for hire. All of our vehicles also come with a camping gas bottle for the onboard cooking facilities. We prepare our vehicles for collection and they are made available from 14:00 on the day of departure, Please allow up to 1 hour for a vehicle handover and familiarization period prior to departure. We ask that on the day of return the vehicle is back with us by 10:00 in a clean and serviceable condition along with a full tank of fuel. Late return or the vehicle not returned with a full tank of fuel may incur additional charges as this may delay the next clients’ departure. One hour late and over may be charged at a full daily rate of 120GBP. Additional fuel will be charged at 25GBP plus fuel cost.  We will require a small amount of time on return to account for all items and carry out a post-hire inspection.

Terminating the Agreement

The customer acknowledges that Ocean Camper hire Ltd may terminate this Agreement and repossess the vehicle at any time, without notification to the customer and that the customer will pay the reasonable costs of repossessing the vehicle, including towing charges if:

They are found to be in breach of any of these terms and conditions, they are found to have obtained the vehicle through fraud or misrepresentation. The vehicle appears to be abandoned. The vehicle is not returned on the agreed return date or time or that we believe that the vehicle will not be returned on the agreed date and time. Ocean camper hire Ltd, on reasonable grounds, that the safety of passengers or the condition of the vehicle is endangered. The customer understands that in the event of such a termination or repossession, they have no right to a refund of any part of the rental charges or the security deposit.

Release and Indemnity of Ocean Camper Hire Ltd

Subject to its obligations to deliver the vehicle or an appropriate substitute vehicle, the customer must release Ocean camper hire Ltd from any liability to the customer ( regardless who is at fault) for any loss or damage incurred by the customer by reason of this agreement, including but not limiting to: Any loss or damage caused by vehicle breakdown, mechanical defect, accident or the vehicle being unsuitable for the customers needs. Any loss or damage to any property left in or on the vehicle or at Ocean Camper hire Ltd’s location, or any items recovered or handled by Ocean Camper Hire Ltd. Subject to any insurance arrangements agreed with Ocean Camper Hire Ltd, I hereby indemnify and shall keep indemnified Ocean Camper Hire Ltd, its employees and agents against any claims, demands and expenses ( including legal costs) incurred or sustained by them or any of them  by reason of my use and or possession of the vehicle.

Hirers Obligations

You are responsible for:

Driving the vehicle in a safe and normal manner in accordance to the rules of the road. Any damage to the vehicle, any of its parts or any of the equipment provided with the vehicle including any additional items hired to you by us in your rental agreement. Ensure that the correct fuel is put into the vehicle. You are responsible for all of our costs that are incurred to return the vehicle to the pre-rental condition in our agreement. You must not sell, rent or dispose of the vehicle. Ensure only those drivers named on the rental agreement may drive the Van.  Do not allow anyone to carry out any work on the van without our prior approval.

Accidents

In the event of an accident you are obliged to report this to us within 12 hours, you must not admit liability, you are to take a full record or all parties involved. Where possible take photos of the accident to aid the claim. You are to gather as much evidence as possible including, names, addresses contact details and phone numbers. Details of all witnesses. You must assist Ocean camper hire Ltd fully until the accident claim has been closed by our insurers. Acknowledge that the security deposit will be used to cover the vehicle insurance excess and is payable at the time of reporting the accident.   

You must not: Drive the vehicle in an unsafe manner, allow the vehicle to be driven by anyone else not named on the vehicle hire agreement.  Use the vehicle for hire and reward or sub-rent the vehicle. Use the vehicle for any illegal purpose, use the vehicle in a manner which could cause damage. Use the vehicle to carry more people that are permitted by any relevant authority or detailed in this agreement. Drive the vehicle whilst unfit through Alcohol or drugs.

Pets

If you would like to bring your pet with you this must be declared at the time of booking and the payment is taken. Pets are not to be left alone in the Van at any time, pets should also be secured in the vehicle at all times whilst travelling in accordance with the law. A detailed post rental inspection of the interior will be carried out and any signs of damage will be charged for.  An additional valeting fee may be payable for unclean interior due to pets.

Breakdown

All of our vans are less than two years old and are fully serviced in accordance with the manufacturer’s service schedule. In the unlikely event of a vehicle breakdown our vehicles include full roadside assistance, if the fault cannot be rectified at the road we will endeavour to replace the vehicle. If we do not have a suitable replacement vehicle we will only be liable for the remaining balance of the rental agreement.

Smoking

At Ocean Camper Hire Ltd we operate a strictly no smoking policy on all of our vehicle If there is found to be evidence of smoking a valeting fee may be charged.

Vehicle Keys

The vehicle keys must not be left in the Vehicle when it is unoccupied, If you lose the vehicle keys you must notify us immediately. You will be liable for the cost of a replacement key and any additional costs incurred by us whilst dealing with the loss.

 

Privacy Policy

During the booking, enquiry and reservation process Ocean Camper Hire Ltd, will collect personal information, including but not limited to, your name, address,  telephone number and driving licence details. This information is necessary for the process of booking and for our insurance company. None of your information will be passed on by us to any third party companies. All payments will be taken through secure means.  

Definitions:” Van’ or ‘Vans’ means the vehicle that you are renting from us in accordance to the signed Vehicle rental agreement including all tools, kit and equipment within and on the Vehicle.

The “hirer” or “you” refers to the person or persons jointly who are the customers of Ocean Camper Hire Ltd.

“This Agreement” are the terms and conditions and the signed Insurance Rental agreement set out by Ocean Camper hire and our Insurers.

‘Ocean Camper Hire Ltd” Means the person that rents a Van to you and is the legal owner or Legal representative of that owner.

“Customer” Means the person or persons nominated as the Hirer in the booking.

Hire Details” on the Insurance Motor Rental Agreement and any other person whose payment is presented for the customers’ charges.
